Worcester Tenant Info
Before the tenancy starts (payable to Northwood “the Agent”):
Holding Deposit: 1 week’s rent (per tenancy)
This reserves a property for you once you have viewed it and wish to apply for a tenancy.
We will only accept one holding deposit for one property at any one time and we will stop advertising the property as available for let once a holding deposit has been paid.
If your application is successful: The holding deposit will go towards the Tenancy Deposit sum due below.
If the landlord decides not to proceed with the letting: The holding deposit will be refunded to you in full providing:
a) You complete the application form and return it to us in a timely manner with photo ID, proof of current address and 3 months’ recent bank statements for each applicant. Normally we ask that you do this within 3 working days of you paying the holding deposit and being provided with an application form, to enable your application to be processed
b) You do not give any false or misleading information on your application form
c) None of the applicants fail a Right to Rent check
If you decide not to progress your application (or withdraw from the let or fail to take all reasonable steps to respond within 15 calendar days to reasonable requests for information required to enable your application to be processed):
The holding deposit will be non-refundable
Tenancy Deposit: 5 weeks’ rent (per tenancy)
This is payable on signing the tenancy agreement or before and is held for the duration of the tenancy to cover any damages, dilapidations & defaults on the part of the tenant during the tenancy. Full details including tenancy deposit protection information will be set out in the tenancy agreement that we will provide to you in advance of your sign-up date.
Your tenancy deposit will be registered and protected with one of the government-approved Tenancy Deposit Protection Schemes.
During the tenancy (payable to Northwood “the Agent”):
Non-payment of Rent
Interest for the late payment of rent at 3% above Bank of England base rate.
Lost Keys or other Security Devices
Tenants will be liable for the actual cost of replacing any lost key(s) or other security device(s). If the loss results in locks needing to be changed, the actual costs of a locksmith, new lock and replacement keys for the tenant, landlord & any other persons requiring keys will be charged to the tenant.
If extra costs are incurred there will be a charge of £15.00 per hour (inc VAT) if appropriate for the time taken replacing any lost keys or security devices.
Variation of Contract (at Tenant’s Request and if agreed by Landlord)
£50 (inc VAT) - to cover agent’s costs in contacting landlord, taking landlord instructions, preparation of new contracts (if required) and system adjustments.
Change of Sharer (at Tenant’s Request and if agreed by Landlord)
£50 (inc VAT) - per replacement tenancy or any reasonable costs incurred if higher to cover the costs associated with taking landlord’s instructions, new tenant referencing, Right to Rent checks, deposit registration and preparation of new legal documents.
Variation of Contract (at Tenant’s Request and if agreed by Landlord)
£50 (inc VAT) to cover agent’s costs in contacting landlord, taking landlord’s instructions, preparation of new contracts (if required) and system adjustments.
Early Release from Tenancy
If authorisation is given by the landlord to allow you to move out of the property early, you may be liable for the following:
i) Rent up to the date on which the property is re-let or the expiration of the tenancy agreement, whichever is the sooner
ii) Council tax, water rates, gas and electricity charges along with any other bills which are your responsibility under the tenancy agreement up to the date the premises are re-let, or the expiration of the tenancy agreement, whichever is the sooner
iii) There will be a charge, if appropriate, for the landlord’s costs for re letting the property
iv) These costs will be no more than the maximum amount of rent outstanding
Utilities, Council Tax & Communications
If permitted and applicable (e.g. included in the rent) amounts may be charged for:
Utilities – gas, electricity, water and sewerage
Communications – telephone and broadband
Installation of cable/satellite
Subscription to cable/satellite supplier
Other Fees and Charges
Fees and charges not included above may be made for breaches of contract and/or items which are defined as “Permitted Payments” under relevant legislation including contractual damages.
Please note: Should you report a maintenance issue with the property and a contractor is called out and their investigations find that the fault has been caused by the tenant/s or an associate of the tenant/s, or alternatively no fault exists, any cost for this call out will be the responsibility of the tenant/s. Northwood reserve the right to deduct any unpaid monies from the deposit.
We may introduce appropriate insurance services to you in connection with your tenancy if you request that we do so on your Tenancy Application Form or later during your tenancy. If you decide to proceed with a quote provided through us (and there is no obligation on you to do so), Northwood may receive a referral commission up to a maximum of 15% and this would be included in the overall premium e.g. if the premium quoted were £100pa, the referral fee to Northwood would be a maximum of £13.04 within that amount.

Tenant Fees for pre 1st June 2019 Tenancies
Below is an explanation of our tenant fees permitted under the Tenant Fees Act 2019 transitional provisions, where fees are written into existing tenancy agreements. These apply to all tenancy agreements granted or signed and executed before 31st May 2019 and can be charged up until 31st May 2020.
When you decide to rent a home, you need to budget not just for the monthly rent and household bills, but also for the initial costs payable to reserve a property and, on the day the tenancy starts, you will normally have to pay a deposit sum plus the first month's rent in advance. A full breakdown of our fees can be found further down this page.
Late Payment of Rent
We reserve the right to charge a fee for chasing any rent that remains unpaid for more than 10 working days beyond the due date.
Tenancy Renewal Fee
Tenancies are normally renewed every six months. Each time the tenancy is renewed for a further fixed term, a renewal fee will be due. The amount is payable in advance and must be received prior to a new contract being signed.
Cheques Returned Unpaid
If the tenant, guarantor or any person acting on their behalf makes a payment via cheque that is returned unpaid by the bank, we may charge a fee towards the cost of additional administration.
If the tenant reports a maintenance issue that is found to have been caused by the tenant or a guest of the tenant or it is found that no maintenance or repair is needed or if the tenant fails to allow access to a contractor once an appointment has been arranged, any call out charges or other costs incurred will be payable by the tenant and an abortive maintenance fee may be charged to go towards the additional and unnecessary administration.
Additional copies of the tenancy agreement and the inventory and photographs will be provided subject to a copying charge.
Early Release from Tenancy
If a tenant wishes to leave a property before the end of the tenancy, the landlord may agree to this, but may ask the tenant to continue to pay the rent and all household bills until the date a new tenant moves in or the tenancy comes to a natural end, whichever is the sooner. The tenant may also be asked to pay the reasonable costs involved with re-letting the property.
We are normally pleased to provide a reference for the above purposes, free of charge.
Normally there is no charge for a check out but we may charge a fee for the appointment if the tenant does not attend to cover the additional administration involved. Further, if we are unable to complete the agreed check out appointment due to unreasonable delays by the tenant on the day of the appointment, a fee may also be charged to cover reasonable costs. Rent continues to be payable until the day a tenant is formally checked out of the property and all keys have been returned.
If we need to arrange for any work at the end of the tenancy because of damage to the property caused by the tenant, an arrangement fee will become due, subject to a minimum charge.
Overpayment of Rent
We do not have the authority to cancel standing orders or any other payment arrangements that a tenant may have with their bank at the end of the tenancy. If the tenant does not cancel such arrangements and it becomes necessary to refund over-paid rent because the tenant has not done so, we may charge an overpayment fee to cover the costs of administration and any bank charges we incur as a result.
